Definitions

« Advens » : means the company, a simplified joint-stock company with a capital of € 440,250.00, whose registered office is located at 32 rue Faidherbe 59800 LILLE, identified under the number 433428018 in the Trade and Companies Register of Lille Métropole; and the Data Controller.
« Recipient » : means the natural or legal person, public authority, department or any other body that receives of Personal Data, whether it is a third party or not.
« Personal Data » : any information related to an identified or identifiable physical person (later referred as “Data Subject”); an ‘identifiable physical person’ is said to be a physical person who can be identified, directly or indirectly, especially by reference to an identifier, such as a name, an identification number, location data, an online identifier, or to one or more elements specific to its physical, physiological, genetic, mental, economic, cultural or social identity;
« Data Controller » : means the Advens entity that decides the purposes of the processing and the means allocated.
« RGPD » : means the EU Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 about the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
« Subcontractor » : means the entities that process Personal Data on behalf of the Controller.
« Processing» : means one or more automated operations applied to the collection of data or a set of personal data allowing the collection, recording, organisation, structuring, storage, adaptation or modification, retrieval, consultation, use, disclosure by transmission, dissemination or any other form of making it available, alignment or combination, restriction, erasing or destruction.
« Transfer » : means transfers to a third country of Personal Data that are or are intended to be processed.

Subject

This policy describes how Advens processes users’ Personal Data when browsing www.advens.fr later referred to as the “Site”.

Advens, as a Data Controller attaches great importance to the protection of the website users Personal Data, such as visitors, customers, prospects, job applicants, undertakes and implements technical and operational measures to process the data collected in compliance with the protection of privacy.

We are also committed to maintaining relationships based on the trust of our customers, employees and users.

Modification & Lifecycle

This Policy may be modified, have additional elements and/or updated by Advens in order to comply with any legal, regulatory, jurisprudential and technical developments. However, Personal Data will always be processed under the policy in force at the time of its collection, unless a mandatory legal requirement were to provide otherwise and would apply retroactively.

Data Processing

Advens only processes data that is necessary for, and under the data protection regulations on a valid legal basis. The different purposes of this Processing are described in the paragraphs below. For each processing, Advens collects and uses only the Data that is relevant and necessary for the purpose pursued.

  • Processing “Recruitement” : Identification data (surname, first name, telephone, address, email, date of birth, gender, family situation) + Professional life data (training, professional experience) / Legal basis: Pre-contractual measures
  • Processing “Clients and prospects” : Identification data (surname, first name) + Professional life data (professional telephone number, email, company name) / Legal basis: Consent of the Data Subject
  • Processing “Internal & External Events” : Identification data (surname, first name) + Professional life data (professional telephone number, email, company name) / Legal basis: Consent of the Data Subject
  • Processing”Newsletter” : Identification data (surname, first name, email) / Legal basis: Consent of the Data Subject

Storage life

The retention period of Personal Data does not exceed the necessary period for the purposes for which it was collected. Under the retention periods imposed by applicable laws and in particular, the retention periods are as follows:

  • Civilian status, identity, identification data, image: 1 year / 3 years in case of exercise of the right of opposition
  • Personal life (lifestyle habits, family situation): Current year + 2 years unless refused by the candidate
  • Professional life (schooling, vocational training, distinctions): 3 years if it is a prospect / 2 years if it is a candidate

Recipients of the collected data

In order to achieve the purposes described above and within the limits necessary for the pursuit of these purposes, the data collected by Advens may be transmitted to all or some of the following recipients (and this, in compliance with applicable law to ensure the security of your Personal Data).


We strictly require, in general, our Subcontractors to use your Personal Data for the only purposes mentioned above and only to the extent necessary for the performance of the tasks entrusted to them, and to implement all measures required to the security and confidentiality of your Personal Data.


As a Data Controller we undertake to transmit them only to authorized recipients, namely:

Advens’s Internal Service

  • The authorized personnel of the marketing department, the sales department, the departments responsible for dealing with customer relations and prospecting, administrative and IT services;
  • The HR team working on recruitment management.

Advens’s Subcontractors

  • Matomo Analytics offering a website analysis service: The data generated by the cookie about your use of the Site will be transmitted to and stored by Matomo on servers located in Europe;
  • Hubspot, a company providing the service used for event registrations, newsletter and contact form: The data of Internet users who have expressed an interest in the company’s solutions is stored in Europe;
  • Axeptio, a company that collects the user’s consent: The data concerning the consent of Internet users is stored in Europe;
  • Publishers and technological partners with whom the events are carried out or clubs and associations; The data of Internet users who have given the necessary information in the context of event management is stored in Europe;
  • Recruitment agencies in the context of recruitment management; The data of Internet users allowing recruitment is stored in Europe.

Data Security

We take all necessary physical, technical, organizational and operational measures to ensure the security and confidentiality of your Personal Data against unauthorized destruction, loss, alteration, disclosure, reproduction or access. We require our partners and subcontractors to implement the same measures.


As such, Advens takes all necessary precautions, with regards to the nature of the data and the presented risks by the processing, in order to preserve the security of the data and, especially, by applying measures of physical protection of the premises, authentication processes with personal and secure access via confidential identifiers and passwords, logging connections, encrypting certain data…


The data collected may be processed outside the European Union due to our collaboration with our Hubspot Subcontractor. Due to the various existing laws on the subject of data protection, these Transfers are governed by Standard Contractual Clauses (such as those published by the European Commission) in order to guarantee the security of the Processing.


Your Rights

The user can access the data concerning them, rectify them, request their erasing or apply his right to limit the processing of their data. The user may also object to the processing of his data and exercise his right to the portability of his data.
For any additional information on the protection of Personal Data, the user can also consult the Website of the Commission Nationale de l’Informatique et des Libertés www.cnil.fr.

Advens will respond to the request within 30 days of receipt of the complete application. Advens reserves the right not to respond to manifestly unfounded or excessive requests.
If the user considers, after contacting Advens, that his rights “Informatique et Libertés” are not respected, they may send a complaint to the CNIL.
